Job Description:

Reporting to the Director and Assistant Director of the Vocational Nursing Program, the Administrative Coordinator is responsible for collecting, monitoring and forwarding student/faculty immunization records, and creating and preparing student clinical groups. The right candidate must be a self-starter who is people-oriented and gets along well within a team. This position offers an excellent opportunity to join a well-established and growing university

Essential Functions:

  • Prepare students and instructors for clinical rotations by collecting and processing all immunization/health records prior to the start of each term.
  • Conduct introduction for vaccination requirements and clinical rotations during new cohort orientations.
  • Make class visits and announcements notifying students of upcoming requirements.
  • Monitor expiring items and notify students and faculty via e-mail; follow-up as required.
  • Coordinate with the Registrar Department regarding completed clinical evaluation logs.
  • Coordinate with the Student Services Department to prepare re-enrolling and transferring students
  • Coordinate with the Financial Aid Department to process any vaccination tuition refunds.
  • Schedule off-site BLS certification class with a 3rd party provider and monitor sign-ups.
  • Create all student clinical rotation groups at the start of each term.
  • Send all instructor and student health records to respective facilities prior to the start of the rotation.
  • Assemble, process and send all clinical facility-related paperwork to the sites.
  • Coordinate with the clinical sites and finalize the student/instructor orientation process.
  • Assist with the coordinating, planning and implementation of all department-related meetings/functions.
  • Take accurate minutes of meetings and distribute accordingly.
  • Set appointments for Director of Nursing (DON)/Assistant Director of Nursing (ADON).
  • Track facility requirements for health records and COVID vaccinations
  • Assist with any student or faculty needs.
  • Other duties as assigned.

Qualifications:

  • An associate degree from an accredited college or university is preferred in Health Science, Public Health, Healthcare Administration, or any related field
  • Must be comfortable with public speaking as you will be visiting classrooms regularly
  • Excellent Customer Service skills.
  • Strong computer skills with emphasis on Adobe Acrobat Pro, Microsoft Word and Excel.
  • Excellent verbal and written communication skills.
  • Working knowledge of office procedures and office equipment.
  • Ability to organize and prioritize multiple tasks and produce reports under strict guidelines.
  • Ability to handle multiple responsibilities, task-oriented projects, and details simultaneously.
  • Ability to work independently and collaboratively.
  • $20-$22/hr
